Fly Free and +Fly Offer:  valid from major gateways across Canada towards the international economy airfare to Europe.  Fly promotion is valid on specific classes with scheduled airlines and must be booked through SCENIC.  The airfare departure taxes up to maximum and fuel surcharges are included with the Fly Free & Fly offer promotion.  If your clients wish to make their own airfare arrangements, SCENIC will offer an airfare credit per person off (refer to grid above) their cruise packages.  This promotion may be withdrawn at any time and is not combinable with any other offer except the group discount mentioned above.  A non-refundable deposit of $1,500 CAD per person is due at time of booking flights. This air deposit will go towards final balance owing. .  If guests cancel, this air deposit $1500 cad is

NON-refundable.   Please contact us to advise of the itinerary and travels that your clients are requesting so we can proceed in confirming your clients’ Fly promotion.  These arrangements must be made between eleven (11) and six (6) months prior to departure or the air credit will automatically be applied. 

Air deviations: subject to availability and may incur additional fees.

Booking Conditions and Deposit requirements unless noted otherwise:

Validity:  Pricing valid for SCENIC season.

Currency movements of over 5% from January 01, 2018 may incur a surcharge.

  • Fares and Early Booking Incentive offers are inventory controlled and may be withdrawn at any time without notice.
  • Rates are in CAD dollars per person based on Double occupancy.   Please refer to the Early Booking Incentive grid for the corresponding reduction in price and applicable booking windows. 
  • Rates in fare grid above include Port charges & taxes and are not commissionable.. 

Deck Plan and Itinerary

Please refer to the Deck Plan and Itinerary at www.scenic.ca.  Please note ship and itinerary are subject to change at any time due to unforeseen circumstances. 

Single Staterooms

A limited number of staterooms are available at a Single Supplement rate. Singles paying 100% single supplement will be counted as double occupancy.  Singles in Category BS will count as a single passenger.  Please inquire if you need pricing for stateroom categories not specified.

Group Discount

A minimum of passengers is required for a group. Group Discount will be applied and Group Commission adjusted prior to final payment as long as the group has reached the minimum group requirement of passengers.  If the group falls below the minimum, Group Commission and Group Discount may be recalled.

Tour Conductor

The TC discount is every th guest free based on the NET Category cruise portion only less discounts and less commission (excludes Port charges & taxes which are to be paid by guests). TC may be taken as a tour conductor or as a discount split amongst the group. TC discount will be applied prior to final payment as long as  passenger minimum in group has been maintained.

 

Group Allocation

Group allocation is run of house availability.  (ROH – availability based on any cabin category, anywhere on board the ship at time of booking).  Specific staterooms can only be allocated once names and deposits are provided.  A $500 cad per person non-refundable deposit is required within 2 days from time of booking.  All unsold group space will be recalled if there is no activity on the group.  If space is available, bookings may still be made into the group at the prevailing rate. 

Deposit & Deposit Protection plan

CRUISE/ TOUR DEPOSIT:   $500 cad/ person non-refundable tour deposit is required within 2 days from time of booking.

AIR FLIGHTS DEPOSIT: $1,500 cad/ person non-refundable air deposit plus any deviation feesis required at time of booking flights through SCENIC.

DEPOSIT PROTECTION PLAN ………. $125 cad/ person     How does the Deposit Protection Plan work?

If you decide to cancel your booking, Scenic will hold the deposit paid by you for Scenic products (minus any third party supplier fees or airline cancellation fees) and will credit that portion of the deposit on alternative Scenic products booked within 24 months of the cancellation.  Deposit protection plan is non-transferrable to another guest.
The deposit protection fee is not refundable and must be paid at the time of booking your tour. Any deposit not used within 24 months will be forfeited.
Important: The Deposit Protection Plan does not replace travel insurance which we strongly advise be obtained at the time of booking

Final Payment

Final Payment is due 90 days prior to departure. Failure to pay the balance within 90 days of the cruise or tour departure date will result in cancellation and loss of the deposit.

Scenic Cruises Inclusions

  • All gratuities on board and on shore.
  • Transfers to and from airport on cruise start and end dates regardless of whom books the air.
  • All non-alcoholic and alcoholic beverages through the ship and complimentary in-stateroom mini-bar (some conditions apply).
  • Complimentary optional excursions (Scenic Free Choice).
  • Scenic Enrich Experiences included at no additional cost.
  • All relative Early Booking Incentive offers as per our (subject to availability)
  • Complimentary Wi-Fi throughout the ship.
  • Complimentary use of our state-of-the-art electric assisted bicycles and Scenic Tailormade GPS devices. 
  • Complimentary Laundry 1 kg /per cabin during duration of tour.

Scenic Cruises Exclusions

  • Personal travel insurance
  • Meals other than specified in the itinerary
  • Alcoholic beverages from the top shelf or from our Vintage wine list
  • Flights, unless included in the cost of the cruise
  • Passport and Visa costs
  • Food and Drinks for Meetings

Cancellation Dates and Penalties

  • 90 days prior to departure  –  $500.00 per person Non Refundable
  • 89-60 days prior to departure  –  35% of total price
  • 59-30 days prior to departure  –  50% of total price
  • 29 – 1 day prior to departure –  100% of total price

**Please note a further non-refundable deposit is due of $1,500 CAD/ Person plus any deviation fees for flights booked with Scenic at time of booking flights.

Tour Personaliser

  • Terms and Conditions in Tour Personaliser must be accepted on line as soon as they are available in the system.
  • Guest Details Section in Tour Personaliser to be completed within seven (7) days of availability in Tour Personaliser
  • Within 180 to 120 days prior to departure – all sections of Tour Personaliser must be completed in order for documents to be issued in a timely manner
  • If Tour Personaliser is NOT completed by final payment, an amendment fee of $25 per person per occurrence will apply and documents cannot be issued until amendment fee is paid. The $25 per person fee also applies for any amendments to the file after final payment has been applied.

Documents

In order to ensure prompt delivery of documentation, Tour Personaliser is required to be completed prior to final payment.  Scenic will send documentation to the agency of record two to three weeks prior to departure.

Any shipping address changes made after final payment will result in documentation to be shipped at agency expense plus a $25 per person change fee.

Booking Conditions

Please refer to the full booking terms and conditions in the Scenic Europe .  All guests must accept the terms and conditions in their Trip Personaliser.

Medical, Mobility and Other Health Issues

All medical, mobility and health issues must be noted in the booking record at time of booking.  Forms are required for those guests with health concerns, sleep apnoea, oxygen machines and must be completed and provided to Scenic prior to final payment.  Scenic cannot accommodate completely wheelchair bound guests.  

Dietary – Please advise if any guests in group have special dietary requirements (eg, diabetic, lactose free, allergic to nuts, etc.)

Mobility issues – please advise if any guests use walking stick, walker, or wheel chair. All guests must be physically mobile to walk on and off ship by himself/herself or do stairs. Scenic cannot accept wheelchair bound guests.

Sleep Apnea machines – please advise if any guests uses sleep apnea machine. No distilled water onboard ship. Guests may request distilled water at their own expense. 220 European volts on-board ship. Adaptor /convertor is required to charge Sleep apnea machines and any North American electronic devices onboard ship. (e.g. Ipad, Iphone, electric shavers, & electric tooth brushes, etc.).

Transfers

Arrival and departure airport transfers are included as part of the packages providing clients arrive and depart on cruise start and end dates. Transfers are not included for passengers under their own arrangements pre- or post-tour. We strongly suggest booking our pre- and post-night hotels that would then allow for transfers to be included.

Important – Flight information must be entered prior to final payment!

Tipping

All gratuities are included on Scenic River Cruises and land tours, both on board and on shore.

Sightseeing Tours

Tours included in the cruise itinerary are usually walking tours or coach tours with a fair amount of walking. For safety and enjoyment, passengers should be in good physical condition, able to walk easily over cobblestone streets and up and down stairs.  Some Scenic Free Choice shore excursions have limited number of spaces available.  It is recommended that your clients select the Scenic Free Choice shore excursions that may be pre-booked in Tour Personaliser as soon as they are available for booking online. 

Young Travellers

Travellers less than 18 years of age on the departure date must be accompanied by and share a cabin with an adult. Children less than 12 years of age on the departure date are not accepted.

Passports and Visas

All passengers must have a valid passport with at least 6 months validity from return date. It is the responsibility of each passenger to ensure any applicable visas for all countries visited have been obtained prior to departure. Failure to obtain correct documentation will mean the passenger will be unable to participate in particular shore excursions and may be denied boarding and/or entry into certain countries. Meeting necessary passport and visa entry requirements and costs is the sole responsibility of passengers and their travel agent.

Reservations

Reservations may be made using our proprietary booking engine, Express Book.  If you do not have an Express Book log in, please see your agency administrator.  For deposits, and general information regarding the cruise or itinerary, please contact general reservations at 1 866.689 8611.

We are pleased to offer the following services to support the closing of sales for your group:

  • Presentation by your Business Development Manager (when possible) to your group.
  • PDF flyer to support the promotion of your group.
  • Brochure mailing to potential clients.
  • Personalized e-marketing blast.
  • Co-operative advertising (with prior approval, please ask your Business Development Manager).

Agreement

This agreement serves as authorization for the group organizer to sell the cruise fares on this agreement.  The agreement constitutes a promotional concession and does not guarantee the availability of space until bookings are made and deposited.  By signing this agreement below, agency agrees not to advertise fares below the group fares stated in this agreement.  We reserve the right not to honour any published prices that we determine were erroneous due to printing, electronic or clerical error.
